How to share a PDF without surprises

Sharing a PDF safely isn't just about one tool or one step. What's on the page, what's hidden in the metadata, what the file is named, and where you're sending it all matter. Here's a practical walkthrough.

Before you export

  • Decide whether you need to redact visible content, sanitize hidden metadata, or both.
  • Deal with visible sensitive content first — metadata cleanup comes second.
  • Pick the simplest output that still protects what matters. Don't over-flatten a low-risk file.

Before you send

  • Open the final file in a separate viewer — not the same tool — and look through it one more time.
  • Check the filename. If the original name reveals something sensitive, rename it.
  • Double-check that you're sending the cleaned version, not the original.

Think about where it's going

  • Email, shared drives, upload portals, and public websites all carry different levels of risk.
  • If the destination keeps a permanent record, give the file one final look.
  • When in doubt, share less rather than more.
